Payroll Coordinator


Reporting To: Chief Financial Officer

Department: Finance & Accounting          

Supervisory Responsibilities: None

Position: One full-time position


To provide financial, accounting, and human resource services in support of the Fraternity and Educational Foundation.


This is a well-established position that requires seasoned professionals with experience in both accounting operations and project management to apply. Responsibilities include preparing biweekly payroll, human resources duties, and budget analysis. This position is for people who are assertive, yet tactful, and can hold themselves and others accountable to policies, procedures, critical deadlines, and producing accurate work product.

  • Ensuring our team members are paid timely and accurately.
  • Ensuring our team members have a competitive level of benefit offerings to retain top talent.
  • Managing payroll and benefits budget goals.

Specifically, this role is responsible for the following:

  • Onboarding and offboarding team members(limited to processing payroll and benefits)•Processing payroll on a biweekly basis
  • Reviewing and recording payroll and benefits invoices
  • Maintaining payroll and benefit cost allocation tables
  • Creating payroll and benefit costs to budget variance reports
  • Updating payroll and benefit costs in the financial forecasting model
  • Researching benefit offerings for competitiveness
  • Researching any regulatory notices related to payroll and benefits•Leading the annual open enrollment process with team members
  • Integrating the general ledger journal entry between the payroll system (ADP TotalSource) with the financial management system (Sage Intacct)
  • Implementing and maintaining the time and attendance module within the payroll system
  • Implementing and maintaining the comparative compensation module within the payroll system
  • Implementing onboarding and offboarding checklists within the payroll system
  • Implementing additional functionality of the ADP system for increased efficiency and functionality
  • Assisting with the annual budgeting process for payroll and benefits
  • Assisting with audit and tax return preparation
  • Training team members on payroll and benefits system functionality
  • Other duties as assigned

Considering Lambda Chi Alpha’s team structure, it is likely that duties will extend beyond those listed above. Physical demands of this position include, but are not limited to, bending, lifting, sitting for extended periods, driving, and flying.


Candidates should have at least 3 years’ of direct work experience. Candidates should be familiar with and be able to demonstrate proficiency with Excel.

The position is a full-time, exempt position located in the organization’s headquarters in Carmel, IN. Job responsibilities and tasks for this position are subject to change based on the needs of the organization and at the discretion of the Chief Executive Officer.


The salary range will correspond with a candidate’s education and experience. Benefits include comprehensive health plans, 401k with employer match, paid leave, continuing education, laptop, and an extended holiday break in December.
