Chapter Billing
Your Chapter’s statement is live and accessible 24/7 through myLambdaChi. This statement of account will outline any dues, fees, and other charges from the General Fraternity – including association and initiation fees, fall and spring invoices, risk management assessment fees and event expenses assessed to the Chapter. To view your Chapter’s statement:
- Select your Chapter from the group selector in the top right corner beside your name.
- Click on the “Chapter Finances.”
- Click on “View Statement & Pay Invoices.”
- To view specific line items on individual invoices, credits or payments, click on the item in the “Transaction Type” column.
Follow the instructions above to view your statement:
- On your Chapter Statement, click on the box of each invoice you’d like to pay.
- The full remaining payment amount will populate in the “Payment Amount” field for each invoice selected. If you’d like to make a partial payment, change this field for the desired payment amount for each invoice.
- Click on Make Payment to access the payment screen.
- After selecting your payment method and entering in your information, hit submit to initiate the payment.
Please ensure the correct details are entered before submitting payment. Only press submit once – even if the page seems to stall. You will be charged more than once if you attempt to pay an invoice more than once in 5-7 minutes. If you have any questions, please reach out to your High Alpha Training Specialist or finance@lambdachi.org about your bill.
NOTE: High Alpha, High Tau and High Pi are currently the only officers who can submit payment directly from the statement of accounts. If an Officer without payment access wishes to pay on behalf of the Chapter, they may do so by mailing a physical check to 10 West Carmel Drive, Suite 220, Carmel, IN 46032 and notifying finance@lambdachi.org.
On myLambdaChi, you can pay via credit/debit card. We use Stripe by LinvioPay as our secure payment processor and it accepts Visa, Mastercard, American Express and Discover.
Alternatively, you can mail a physical check addressed to Lamba Chi Alpha Fraternity at 10 West Carmel Drive, Suite 220, Carmel, IN 46032 with the Chapter’s name and invoice description in the memo line (an example can be found at the end of this document).
If you wish to pay via bank transfer (commonly referred to as e-Check), you can find detailed instructions here.
Many banks offer a “bill pay” option where you can request a check to be sent directly from your bank account or set up recurring payments to pay off past due balances.
There are multiple reasons why the payment would be declined. The General Fraternity does not decline payments directly for any specific reason. The payment was likely declined by your bank due to one of four reasons:
- The credit card or bank information was entered incorrectly.
- The billing address or point of contact was entered incorrectly.
- The bank required an alternate method of verification via micro deposit into your bank account. You will receive an email confirming this process has started and a second email with a link to “verify deposits.” After clicking the link, enter the 6-digit code (SM####) from the micro deposit item found on your bank statement, and then click “Verify and pay.”
- The bank has a transaction limit on your credit/debit card and/or has flagged the payment as potentially fraudulent. The General Fraternity cannot help you bypass this. You must call your bank and ask for a one-time transaction limit increase to make a payment and clear the payment to the Lambda Chi Alpha Fraternity as an approved payment.
Please do not wait until the last minute to make a payment towards your bills. Overdue invoices may be subject to late fees, regardless of whether the payment was attempted or declined. It is your responsibility to pay on time, which includes making sure that your bank will allow the transaction to occur. Some Chapters opt to pay the maximum daily limit until the balance is paid.
If you are unable to increase your transaction limit or send a physical check, email finance@lambdachi.org for alternative payment methods.
If this is your first time writing a check, use the picture and instructions below to ensure that the check is written correctly and able to be deposited towards your Chapter’s balance. While the 4. look and feel of your check may be slightly different, be sure all parts of the check are filled out completely and your handwriting is legible to prevent delay or potential late fees.
- Recipient: This is the name of the entity you are sending the check to. If you’re paying bills to the General Fraternity, the recipient will be “Lambda Chi Alpha Fraternity, Inc.”.
- Amount in Words: Write the amount in word form on the second line underneath the “Pay to the Order of” line. Write out the whole dollar amounts in word form followed by “and XX/100” for the cents. To avoid fraud and prevent anyone from manipulating the intended amount of the check, at the end of your cents, draw a line across the rest of the check.
- Memo/Purpose: This is where you indicate what you’re paying for. This line helps the recipient quickly understand what the purpose of the payment is for. When possible, reference a specific invoice number or purpose in this line to help expedite the deposit.
- Date: In the upper right-hand corner, write the current date on that line. Post-dating a check or writing a date that is later than today’s actual date, is not recommended.
- Numeric Amount: Write the amount in numbers in the box to the right of the dollar sign, separating dollars and cents by a decimal point. For a check over thousand dollars you may use commas as thousands separators.
- Signature: Finally, ensure the check is signed on the bottom right by an authorized individual – this may require you to visit the bank with a previous officer to ensure you’re an authorized signer on the account. Checks are invalid without a signature that matches the signature on file at the back.
Insurance & Housing
The purpose of housing surveys is to provide the current Life Safety underwriting information required by our insurance carriers and Loss Control assistance to reduce risks in and around our chapter facilities.
Completed Housing Inspections are sent to the chapter contact who is/was responsible for coordinating the inspection times and dates. Responses to recommendations are required within 30 days of receipt to ensure that chapters have acknowledged and plan to address any concerns raised within the inspection.
Substance Free housing is reserved for chapters who have no alcohol or substances within the property, even if held by those of a legal drinking age. If alcohol is present within a facility at any time, it does not qualify for this status.
Please email healthandwellness@lambdachi.org with any updates to your housing status.
Please email healthandwellness@lambdachi.org. Chapters who have alcohol/substance incidents within recent years will be unable to qualify for this status.
Lambda Chi Academy
“Error 126” occurs in Lambda Chi Academy when an FSID and myLambdaChi Portal account have been created successfully, but the Academy account is still inactive or has invalid permissions. The Office of Administration team will need to manually reset your access and will verify with you once it is active and ready to access.
Before reporting an error, always quit your browser and try logging into the Academy again. Sites like Lambda Chi Academy use cookies and cache to keep you signed in, but this data can become outdated. Quitting your browser clears it and often fixes issues like “Error 126.”
Still Seeing Error 126? Let us know here
In the myLambdaChi Portal, every Member with Lambda Chi Academy access has a button in the toolbar of the Member Portal at the top of their screen. The button is highlighted in RED on the screenshot below:
If you don’t see the red-highlighted button or can’t access the myLambdaChi Portal, you won’t have access to Lambda Chi Academy. The Office of Administration team will need to manually grant or restore your access. Once the button appears, access has been granted—but please note syncing between accounts may take a few hours.
Don’t have the Academy button in myLambdaChi? Let us know here.
If you can log into both the myLambdaChi Portal and Lambda Chi Academy but don’t see any Stead Leadership College, Ideal Man, Member Safety, Mason Library, or Advisor courses, it means an error occurred when assigning courses to your account in Lambda Chi Academy. The Office of Administration team will need to manually reset your course access and will verify with you once it is configured correctly.
Confirm which courses you are looking for before reporting. For example, if you are looking for Ideal Man, you will need to specify which one by course title, like Developing Myself also known as Ideal Man 1 or Developing My Relationships also known as Ideal Man 2. If you are looking for the Member Safety course referenced on the Risk Management Assessment, you will look for its full title, Member Safety Fundamentals.
Can’t find a specific course? Let us know here.

Risk Management Assessment
RMA Appeals are accepted each semester by a due date that is established and shown within the Chapter’s RMA Sheet. If there are issues with the RMA Sheet, an Appeal submission will be used to correct any concerns.
While specific metrics may change over time, the metrics found within Claims & Incident History and Operating Expectations are directly under the control of the undergraduate chapter. By maintaining a safe and compliant chapter environment, as well as completing educational items that reduce risk profiles of the chapter, you can play a major part in reducing or maintaining a low RMA for the chapter.
Please contact Zach Rodgers via zrodgers@lambdachi.org with any questions regarding the RMA.
RMAs are issued by July 1st and December 31st for the Fall and Spring Assessments respectively.
The Risk Management Assessment (RMA) is a semiannual fee that is paid to the General Fraternity. Each chapter is billed a per member fee each semester. There are three categories that the RMA is based off of: Housing, Claims & Incident History, and Operating Expectations. How a chapter rates in each of these categories depends on whether it pays more or less per semester. Chapters pay and RMA each spring and fall, based on the number of members in the chapter. This is multiplied by a chapter rate, which covers the chapter’s individual percentage of the insurance premium and deductible, plus a percentage of the costs tied to investigating incidents, claims mitigation, and the provision of health & wellness programs. The General Fraternity collects the RMA payment twice a year and then remits them to the insurer.
Any facilities that are owned or rented by the Housing Corporation of a chapter, or otherwise referred to as a Chapter House, should be inspected by Favor & Company and counted within the RMA.
There are four types of housing considered within the RMA which are House, Rental, University Housing/Dorm, and Lodge. A House is defined as a property that the Housing Corporation owns. A Rental is an off-campus property that the Housing Corporation or members of the chapter rent and is considered a “Chapter House”. University Housing/Dorms are properties that are owned and maintained by the institution and leased out to chapters to live and operate in. A Lodge is a property that contains a common space exclusively for the chapter that no members live at.
A formula is used each semester based on results on file for each metric that is being utilized. The full and updated formula for each semester will be included within the issued RMA Sheet.
